Do I need to schedule a tour, or can I just stop by?

How do I reserve a date for my event?

To reserve your date, kindly email info@sagecreekranchevents.com with your preferred date and, if possible, a backup date. Dates are allocated on a first-come, first-served basis and become officially reserved when Sage Creek Ranch and Events LLC receives your signed contract and booking fee. 

When are payments due? Do you offer payment plans? 

For the Elegance, Sweetheart, and Weekender Packages, a $1000 booking fee, along with a signed contract, is due at the time of booking and is applied to the total package price. An additional $1000 payment is required halfway between booking and the event date, with the remaining balance due 30 days prior to the event. Micro Wedding Packages require a $600 booking fee and a signed contract to secure the date, with the remaining balance due 14 days before the event date. You can make smaller, partial payments of any amount before the due date, allowing you to create your own flexible payment plan on your own schedule. All booking fees and payments are nonrefundable. 

What payment methods do you accept? 

Sage Creek Ranch and Events LLC accepts cash, checks, and Zelle payments. Additionally, credit card payments are accepted but will incur a 3% convenience fee. 

What is the capacity of Sage Creek Ranch? 

Our venue has a maximum capacity of 200 guests, but for a more comfortable and spacious atmosphere, we recommend a preferred guest count of no more than 150 including the bridal party and all vendors. 

Do you have an in-house caterer for our event? 

We proudly partner with BBQ Junkies for our in-house catering option. Stefani, known for her delicious and award-winning barbecue, offers a range of meal options. You're also welcome to choose other licensed and insured caterers or restaurants to cater your event. They must bring food already cooked and warm or be self-contained, like a food truck, as our venue does not offer a full commercial kitchen. Homemade food or potlucks are not permitted. 

Can we bring our own alcohol? 

Yes, and we require that all alcohol be served by a licensed, insured bartender. You purchase the alcohol of your choice, which offers huge cost savings compared to venues with liquor licenses, and the bartender serves it. This practice ensures responsible service, preventing overserving and potential underage consumption, prioritizing the safety of you and your guests. 

What do our guests need to know when preparing for our event?

For your unforgettable ranch-style wedding in Southern Arizona, here's what your guests need to know:

  • Dress comfortably for the outdoor setting.

  • Opt for shoes suitable for walking on uneven terrain, as the ranch grounds may include gravel or grassy areas.

  • Be prepared for potential weather changes. Southern Arizona can experience both sunshine and occasional rain showers, so bring layers and umbrellas just in case.

  • Plan for travel to the ranch, which is located just west of Tucson. Consider carpooling or arranging transportation services if needed.

  • Embrace the rustic charm and natural beauty of the ranch setting. Relax, celebrate, and create lasting memories amidst the picturesque Southern Arizona landscape.

Is there anything for our guests to do while we take pictures between our ceremony and reception? 

During cocktail hour or family photo time, your guests can have a blast on our lovely game lawn, complete with horseshoes, bocce, cornhole, and an oversized tumbling tower game. 

Can we have our event on a Sunday? 

Our venue typically reserves Sundays for worship-related activities. However, we may consider hosting shorter 3-hour events on Sunday afternoons/evenings, subject to availability and prior arrangement. Please feel free to inquire about specific dates and discuss your event needs with our team to explore the possibilities. 

Can we have a Quinceañera or other event at the ranch? 

Yes, you can definitely host a Quinceañera at the ranch! Our venue accommodates various events, including Quinceañeras, birthday and graduation parties, showers, and corporate and 4-H events. We'd be thrilled to discuss the details further and tailor our offerings to make your event truly special.

Is event liability insurance required? Where do I purchase that and how much does it cost? 

Event liability insurance is vital because it helps protect you and your guests from unforeseen accidents, injuries, or damages that may occur during the event. It provides financial coverage and peace of mind in case of unexpected incidents, ensuring a smooth and secure event. 

Obtaining event liability insurance is a straightforward process. Websites like Eventsured.com and Wedsafe.com offer quick options. Typically, it takes just about three minutes, with an average cost of $125. When purchasing, remember to list Sage Creek Ranch and Events LLC as additional insured and include host liquor liability if you plan to serve alcohol at your event. Proof of insurance is required and must be provided along with your final payment. 

Are there private facilities on-site for the bride and groom to get ready? 

Sage Creek Ranch and Events LLC provides excellent on-site preparation spaces. The bridal casita is beautifully appointed, offering a spacious bathroom with multiple mirrors, a kitchenette, a sitting area, and a bedroom. The groom's bunkhouse, with its western and rustic charm, includes a kitchenette, a roomy bathroom, a sitting area, and four twin beds. Moreover, there's a TV in the groom's bunkhouse, allowing the gentlemen to connect a gaming console if desired.  There is no wi-fi available in the casitas. See the casitas in the gallery here

Are there overnight accommodations on-site? 

Yes! Indulge in the luxury of our Elegance and Sweetheart packages, which both include a romantic one-night stay in our charming bridal casita. But why limit your escape? Extend your enjoyment amidst the tranquil beauty of the ranch with our exclusive Weekender Package, designed for up to ten guests. Our bridal casita boasts a comfortable queen bed, while the groom’s bunkhouse provides four cozy twin beds. Need more space? We've got you covered with multiple air mattresses available for extra wedding party or family members. Embrace the serenity and make your stay unforgettable.

How close is the nearest hotel?  

The nearest hotel is Casino del Sol Resort Hotel, roughly 20 minutes away. JW Marriott Tucson Starr Pass Resort is around 35 minutes away. Please note that Sage Creek Ranch and Events LLC does not currently provide shuttle service. 

What time does our event have to end? 

Amplified music must conclude by 10 pm to comply with the Pima County noise ordinance. Additionally, all event guests who aren't staying overnight in a casita must leave the premises by 11 pm, which is when the gate will be closed. No vehicles, except those owned by casita guests, may be left on the property overnight. 

What is the contingency plan in case of rain? 

The ranch exclusively offers outdoor event spaces. We have a covered reception pavilion with seating for approximately 90-100 guests at tables. Ceremonies are typically held on our lush lawns. If there are concerns about rain, you have the option to rent a party tent from an external rental company. In the event you wish to postpone your event due to inclement weather, please give Sage Creek Ranch and Events LLC a 48-hour notice. However, event postponement is subject to the availability of a suitable alternate date. Please be aware that we do not issue refunds for weather-related changes. 

Are taxes and gratuities included? 

Since Sage Creek Ranch and Events LLC is providing a service, sales tax is not applicable for venue rental. Sales tax for in-house catering options is already included in menu prices. Please note that gratuity is not included in the venue or catering pricing, but we encourage you to tip any vendors you believe have provided excellent service. 

Can we use the ranch for engagement photographs, family photos, or senior pictures? 

Certainly! With a booked Elegance, Sweetheart, or Weekender package, you can enjoy a one-hour engagement photo session on the ranch with your chosen photographer. Additionally, the ranch is available for family photo shoots, senior pictures, and engaged couples not holding their wedding at the ranch, at a rate of $50 per hour.  Please note that use of the ranch for photo sessions does not include the photographer’s fees, but many photographers include engagement shoots with their wedding packages.
